Meeting Rooms


The Santa Cruz Public Libraries provide meeting rooms to make it possible for the public and the Library to further the interests and meet the needs of the community, and to build knowledge and understanding of one another as a community.

All meeting room reservations are free and require a library card (except for study rooms). Library spaces are not intended for commercial use or private events, such as weddings, birthday parties, or other types of personal celebrations. No admission fees may be charged, no collections may be taken on the premises, nor any funds or business solicited or direct sales.

How do I book a library meeting room?

You'll need an active SCPL library card. If you don't have a card, you can apply online. You'll receive a temporary card number that you can use to book a room. When you come into the library, you can pick up your official library card after showing your ID and proof of mailing address.

  1. Go to our Spaces Calendar to see the rooms available for public booking at our branches. You'll first need to log in with your library card number and PIN/password.
  2. Choose the date and start time on the grid for the room you'd like to reserve. Your booking initially defaults to 1 hour. You can adjust the end time below the grid for a longer booking.
  3. Below the grid, choose your end time from the dropdown. If you want to start over and change the start time, click the trash can icon on the right of the end time dropdown.
  4. Click the Submit Times button.
  5. Review the Terms & Conditions, then click the Continue button.
  6. Complete the booking form, then click the Submit my Booking button.
  7. Bring the signed Hold Harmless Agreement with you when you come to the library or sign the agreement when you check in with staff.

Your booking is tentative until it is reviewed and approved by library staff. You will receive an initial email confirmation that your booking request has been submitted for review. You will receive a follow-up email confirmation once your booking has been approved or denied. Check your spam folder for emails from the Library Calendars email address: alerts@mail.libcal.com

If you navigate away from the booking page or your browser crashes before you have submitted your booking, the times you chose will be temporarily locked for five minutes. The system holds in-progress bookings for five minutes to give you time to complete your booking. Library staff are unable to unlock incomplete bookings. Please wait five minutes, then begin your booking request again.

How do I get more information about each room before booking it?

When the branch location is selected in the dropdown at the top left of the screen, you can click on each room's name to get more information about the room's features, see a photo of the space, and browse available times in a daily or weekly view.

How do I make a change to my booking?

Please contact the library to request any changes as soon as possible. Room availability determines whether we can make your desired change.

How do I cancel my booking?

If you no longer need your reservation, please cancel as soon as possible to make the room available for other community members. Your email confirmation includes a link to cancel the booking. You can also contact the library for assistance.

Community Rooms

Community Rooms are large meeting spaces that can be reserved by groups up to two months in advance and up until one business day prior to the event. Rooms can be reserved up to four times per year by one group. Each booking is limited to four hours.

All meetings must be free and open to the public. Please review the Meeting Room Policy for the full terms and conditions regarding the use of Community Rooms.

Conference Rooms
Conference Rooms can be reserved by groups up to two months in advance and up until one business day prior to the event. They can be reserved up to twelve times per year by one group. Rooms are available for up to two hours and can be extended on the day of the event for an additional hour, if there are no other reservations for the room. At least two people must be present to occupy the conference room.

Study Rooms

Study rooms are available on a same-day basis only. Reservations are made through Library staff at the branch or over the phone. Study rooms are available for one hour per day. If after the first hour the room has not been reserved by another party or group, the patron (or the affiliated group) may book it for another consecutive hour, for up to two hours per day.

Outdoor Amphitheater

The Amphitheater is a large space for meetings and events. It can be reserved by groups up to two months in advance and up until one business day prior to the event. The Amphitheater can be reserved up to four times per year by one group. Each booking is limited to four hours.
